Student Activities Administrative Assistant

CALVERT HALL IS CURRENTLY SEEKING A STUDENT ACTIVITIES ADMIN ASSISTANT
FOR THE 2025-2026 SCHOOL YEAR

We are seeking an Administrative Assistant to support the daily operation of the Student Activities Office.
 
Responsibilities include managing general office tasks such as answering phones, ordering supplies, maintaining budget and receipt logs, and overseeing the facilities and transportation calendar. This role serves as the primary point of contact for students, faculty, and parents and assists with lunch loans, IDs, locker issues, lost and found, and other front-line needs.
 
PREFERRED QUALIFICATIONS:
  • High school diploma and a minimum of 6 years of experience in a school environment, or a college degree and a minimum of 2 years of experience in a school environment
  • Track record that demonstrates success and work stability
  • Any equivalent combination of education and experience
 
ESSENTIAL FUNCTIONS
  • Greet students, faculty, staff, and visitors warmly and professionally; determine the nature of their visit and direct them appropriately.
  • Answer and screen telephone calls; provide accurate information or route calls accordingly, demonstrating knowledge of school policies and contacts.
  • Order and maintain office supplies for the Student Activities Office.
  • Organize and maintain filing systems and office procedures.
  • Manage facility and mini-bus calendars, including all student activity events and transportation needs.
  • Receive, transcribe, and deliver messages to students and staff.
  • Maintain a professional environment within the Student Activities Office; supervise students working at the conference table.
  • Perform additional tasks as assigned, such as organizing, labeling, and alphabetizing materials.
 
REQUIRED QUALIFICATIONS (Knowledge, Skills, Abilities)
  • Customer and personal service, including assessment of customer needs, meeting quality standards for services, and evaluating customer satisfaction.
  • Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures.
  • Active listening and negotiation skills.
  • Excellent oral and written communication skills and ability to serve the public diplomatically and efficiently.
  • Ability to solve problems and exercise mature and discreet judgment.
  • Professional and courteous demeanor.
  • Exercise logic to identify the strengths and weaknesses of alternative solutions and determine the best action plan with the customer.
  • Ability to prepare routine reports as requested.
  • Ability to organize, manage time, and set multiple priorities to accomplish assigned tasks within established deadlines.
  • Ability to recognize and communicate issues and roadblocks.
  • Ability to work independently and ask questions or seek assistance when necessary.
  • Ability to recognize process improvements and ability to implement changes.
  • Model professional and ethical standards when dealing with students, parents, peers, and community members.
  • Ability to edit routine correspondence for spelling and grammar.
  • Knowledge and ability to use standard office machines and equipment.
  • Typing skills preferred.
  • Computer skills, including experience with Microsoft Office Suite and Excel.
  • Ability to learn new skills.
  • Ability to effectively work with others.
 
HOURS AND COMPENSATION:
When school offices are open, this part-time, school-year position is scheduled Monday through Friday, from 7:30 AM to 2:30 PM (7 hours per day). The position runs from the week before Labor Day (coinciding with faculty return) through the week after Memorial Day, following final exams. It averages 27.5 hours per week (approximately 1,435 hours annually). This position qualifies for partial tuition remission. The compensation for this position is $22.50/hour.
